We would like to place a humble request, please read the terms and conditions of the contract between our clients (you) and Snowpal Treks and Expedition Pvt. Ltd (we) in detail. In completing and submitting the booking form on our website, you accept and agree to be bound by these terms and conditions between Snowpal Trek and Expedition Pvt.Ltd and client (You). The terms and conditions regarding your trip booking confirmation, payment in advance/full, postpone the trip, cancellation, and refund system, and the charges levied as per the policy of the company and agreement with clients. These booking terms and conditions constitute a legally required contract between you and Snowpal Trek and Expedition.
Snowpal Trek and Expedition Pvt. Ltd. Promulgates its terms and conditions for any kind of trip, mountaineering/Peak climbing, trekking, Tours, hiking, rafting, wild safari and other services being operated by our company Snowpal. The terms and conditions set forth will bring forward its limitations before any interested visitor advances for the programs alluded to.
With the purpose of confirming your bookings, you need to pay us 25% of the total trip cost. The booking amount you can pay us through bank transfer or online payment. The rest of the due money is to be paid on your arrival in Kathmandu. Be noted that a service charge of Bank transfer and online payment should be paid by the customers themselves.
All tour package cost is on per person basis for a minimum group size of two on sharing basis. Any solo (Single Person) extra charge will be additional.
Extra expenses because of your own reason and beyond our management like flight delays or unforeseen circumstances will be your individual responsibilities.
Our all clients are requested to follow the following steps to make a reservation for the Services listed on our website.
25% of payment in advance should be made up at least 60 days in advance for the trekking, 180 days before for any mountaineering and peak climbing, or as soon as the trip is confirmed. This is the first step to managing the logistics and required field staff and to make your trip permission from the legal authorities and concerned department of the governments of Nepal.
The Rest full payment of the services should pay in full amount before the client proceeds with the trip.
Our clients may pay the booking amount through direct bank-to-bank transfer or you may also pay through our online payment portal this site. The rest of the due money should be paid on your arrival in Kathmandu. The service charge of Bank transfers and online payment trip consumer should pay themselves.
Our cost-mentioned package on our website is based on a minimum of two people in group size on sharing basis. Solo supplement’s additional extra charges will be added in understanding with our clients. For the advance payment:

Our company Snowpal Trek and expedition Pvt. Ltd may accept your last-minute booking a week prior to the tour/trip departure date, but full payment will be required at the booking time. (We do accept your last-minute booking with 50% payment in some cases of Nepal trips, but last-minute booking may not be accepted for Tibet and Bhutan trips.

Trip Insurance Policy
The Rule/Regulations of the Nepal government does not allow to make any trip/Tour/mountaineering insurance for any foreigner here in Nepal. Even if you pay us, we will not be able to purchase insurance for our clients. Hence, we suggest to our guests to purchase travel and high altitude insurance, accidental insurance, helicopter medical insurance, and emergency evacuation are mandatory and should be purchased as in a package in their own country.
Trekking and expedition may involve risks and several other factors that cannot be foretold. If any natural disaster happened and needs medical emergencies or helicopter evacuations in high altitudes the emergency evacuation must be paid in cash in Nepal unless an insurance company has agreed to pay the costs on your behalf.
You must provide evidence to our office that you have obtained personal travel insurance prior to the trip. You must ensure that your personal travel insurance covers all of the activities you participate in in the Himalayas throughout Nepal. So that proper steps and papers works can be done in case of unpredictable situations. If somehow a rescue is needed, our company will contact rescue companies and will manage all the paper works. Only the insurance should cover all the aspects of your trip.
Tolerance and Expectation
Snowpal Treks and Expedition Pvt. Ltd puts every effort to ensure your comfortable trip under our management, but it is a must to understand that what you might be accustomed to in other affluent countries, the Himalayan countries can’t afford such facilities. Weather is another factor that directly impacts your journey and flight into the Himalayas like in Lukla and Jomsom. Flight to mountains like Lukla might delay, postpone and cancel for hours or a couple of days. Hence, with patience in mind, enthusiasm, and proper preparation before commencing the selected trip you must venture into the journey.
Customized
If any of our clients wish to make customizes to their tour arrangements we require notification writing to Snowpal Trek. If any government permits, insurance of concerned staff, or flight ticket, has been issued already that cannot revoke or refund. You will be liable for these costs. You may also be liable for the cancellation fee of trips and airfares purchased already on your behalf.
Postponement, Route changes and Cancellation
Snowpal Trek and Expedition Pvt. Ltd. reserves the right to modify routes or postpone or delay or add more days or cancel any trip within the objectives set out in the itinerary if international or domestic flight change schedule, cancelation. We also may be obliged to change or postpone or cancel due to inclement weather, snow, or icy conditions that are otherwise likely to be hazardous or dangerous, or due to any other adverse or threatening conditions whether political or military or terrorist, or otherwise or there is a likelihood of any such event occurring which may impact upon the safety of the participants.
In the event of any change, modification, cancellation postponement, or delay under this condition, you acknowledge that you will have no right to refund the tour/trekking/mountaineering price and no right to claim compensation for any injury, loss, or damage, or other additional expenses incurred by virtue of the change, modification, cancellation postponement or delay.
Trip incomplete
The client is not entitled to any compensation, whatsoever, in case he/she forfeits from embarking on the trek/expedition because of his/her personal decision or injury. Also, if the government revokes the permit for the trek/expedition because of any disaster in the area, the clients may not seek reparation for their payment.
Trip cancellation policies
If Snowpal Trek and Expedition Cancel your paid trip due to unforeseen circumstances like natural disasters, unfavorable climate, conflict, etc., we would be happy to refer you alternative trip of a similar standard. Even if the alternative doesn’t fit your personal interest, we will be flexible to meet negotiation costs, but remember, any other expenses incurred by you as a result of this booking are entirely your responsibility.
Having paid the full amount of any trip, you’re entitled to incur a refund in case you want to cancel your trip. Still, the cancellation charge is invoiced to you. Written notification of your cancellation should be made to cancel any trip. Nevertheless, you’re imposed cancellation charge as advised below: –
Policy for Trekking, Hiking package tour
If cancellation is made before 45 days of the trip departure date, 25% of the total trip cost will be charged as cancellation and the remainder will be adjusted in their next trip or refunded after deducting the processing charge of Nepal Rastra Bank.
If cancellation is made 15 days prior to the trip departure date, 50% of the total trip cost will be charged as a cancellation fee.
If cancellation is made prior to 7 days before the trip departure date 70% of the total trip cost as a cancellation fee will be charged.
If cancellation is made within the week of the departure or upon arrival in Kathmandu no refund shall be provided. Any remaining payment will be required at this time.
The Protected area Permit/Insurance of concerned staff once issued is not refundable in any period of cancellation.
Cancellation policy for Peak Climbing & Expedition
Cancellation before 60 days of the trip, 25% cancellation will be charged.
Cancellation Before 30 days of the trip 40% cancellation will be charged.
Cancellation Before 15 days of the trip 60% cancellation will be charged.
Cancellation Before 07 days of the trip 70% cancellation will be charged.
If cancellation is made within the week of the departure or upon arrival in Kathmandu no refund shall be provided. Any remaining payment will be required to be done at this time.
The Royalty/cost of the Climbing Permit/Insurance/Equipment allowance is not refundable in any period of cancellation.
Cancellation policy for Air ticket purchase
Cancellation received 60 days or more before the tour starts: No Cancellation Fees will be charged.
Cancellation received less than two weeks before the tour starts: 50% Cancellation Fee will be charged
Cancellation received within 48 hours before the tour starts: 100% Cancellation Fee will be charged
Cancellation policy due to members of climbers/clients
Snowpal Trek and Expedition Pvt. Ltd. reserves the right to cancel the mountaineering expedition prior to departure in the event that there are too few people booked on climbing, in which case you will be given a full refund of the expedition price. You will not be entitled to claim any additional amount or seek any compensation for any injury, loss, expenses, or damage (either direct or consequential) or for any loss of time or inconvenience, which may affect in limitation of visa, passport, vaccination charges, gear purchases, airport, and airline taxes).
Snowpal also reserves the right to cancel the booking of restricted area trekking in Bhutan or Tibet if the confirmed group size is less than the requirements. We will operate most of the trekking and tour packages other than the ones mentioned above even if the number of persons is less than required.
The advanced paid trip may postpone for the next season or year adding the appropriate cost of trip operation time but if any permits, government royalty, and staffs insurances have already been issued will not refund in any case.
The advance payment is not refundable in case of overturning the trip in any condition on behalf of the clients.
Physical Fitness Requirements
Physical fitness is the most important part to participate in our adventures other than cultural, spiritual, or family-level hiking. For this reason, we strongly advise all clients to follow our pre-departure fitness training recommendations or see professional fitness instructions. If you suffer from severe muscular, chest, heart, or bronchial disorders, or if you are a severe asthmatic you are strongly advised against participating. Tours take place in remote areas where there is little or no access to normal medical services, or hospital facilities for serious health problems. Evacuation, where necessary, can be prolonged, difficult, and expensive. Medical and evacuation expenses will be your responsibility and therefore we require travel and medical insurance to cover air transfer evacuation and hospitalization expenses. We reserve the right to refuse any person the right to participate in a tour on medical or fitness grounds.
Children
Any children under fifteen years participating in any trip through our company required a legal guardian must accompany them. There are no age limitations for tours but there is an age restriction of 9 years of age and above for trekking and 16 years and above for mountaineering above 6,000 meters. The age restrictions are in accordance with Nepali law. If you have a question regarding age and suitability, please contact us for further information.
Citizenship proof Requirements
Your Nationality is required to make any Trekking, Mountaineering, or Touring permission. You will not be entitled to a refund if you are denied boarding or entry on any basis, including without limitation, improper documentation or failure to provide information. International travel regulations require a valid passport with six months remaining on the passport prior to the expiration.
Trip calculation
Any trip calculation cost depends on ground costs, fuel prices, airfares, exchange rates, and assumptions made at the time of the trip price quote. We try our utmost not to increase tour prices (in full or part), however, sometimes increases are outside our control. We reserve the right to amend tour prices (or any part) without notice at any time before and including the departure date. Amendments may be necessitated for many reasons including, but not limited to exchange rate fluctuations, increased fuel costs, airfares, airport charges, increases in ground operator service fees, or the need to engage alternative air or ground operators. Any increase in trip prices must be paid prior to the departure date.
Cost Exclude
Here are some items of cost excluded from any trip to our site.
Visa and passport charges, Traveler’s insurance, Meal in the city, Personal expenses like laundry, personal clothing, medical expenses, emergency evacuation, and/or emergency search charges. Additional expenses caused by delays, accidents, or disruption of planned itineraries, Tips and climbing bonus, alcoholic and soft beverages, and excess baggage charges, refer to our tour notes for full details.
EOA and NMA have made a basic system for Bonus /Tips to successfully peak summited members as U.S.$500.00 for peaks in the 6,500 meters to 6,699 meters, U.S. $700.00 for all 7,000-meter peaks, and U.S. $1,000.00 for 8,000-meter peaks except for Everest which is U.S. $1,500.00. This cost is not included in the total cost, since there is no way to determine which clients will reach the summit. This cost will be paid directly from the client to the Sherpa guide and is valid only in full board package service.
Responsibility of our clients
Our Mountaineering, Trekking, and Touring Guides are representative of our company. He asks you to follow Nepal’s rules and regulations. If you commit any unlawful act you will be asked to leave the tour. No refund will be provided in this case.
Authority
This agreement and the rights and obligations of the parties will be construed and take effect in accordance with and be governed by the laws of Nepal and the Nepal tourism association.
Snowpal trekking teams will always offer the most genuine services and we assure you that no one of our members will damage or take your stuff. We will not be in charge of any adverse conditions of loss or robbery of your belongings during the trip.
Snowpal guide holds the right to change the route, and trekking length and make several other modifications for the protection and concern of the trekking group, particularly in climate difficulties, altitude sickness, or wounds. Further, our guides take the right to banish you from the team if you do severe illegal acts.
However we give the most excellent services to make your trip safe and easy, you take a trip at your personal risk. You will be requested to sign a supposition and release of threat form at the pre-departure meeting.
Miscellaneous
A party will not be deemed to have waived any of their rights or remedies under these conditions or at law by allowing any time or indulgence or by not exercising any right or remedy arising out of any default by the other party. If any part of a condition is illegal, unenforceable, or invalid, it is to be treated as removed from the conditions; however, the remainder of the conditions are not altered.
Our Company has not offered its customers any kind of travel insurance. Customers should purchase by themselves before coming to Nepal.
Insurance must cover medical, accidental, natural disasters, emergency evacuation, and trip cancellation expenses along with baggage and gears lost, theft, or damaged for them during the trip in Nepal.
All our clients must need them own a legal passport with a validity of a minimum of 6 months prior to the trip date. A Nepalese visa is issued by the Nepalese Consulate in your country or after arrival in Kathmandu at Tribhuvan international airport. A Nepalese visa with 15 and 30 days validity costs USD 25 and USD 40 respectively and for SARC country and Chinese Citizens just take a visa, no need to pay for visa fees
Regarding the cost and additional charges
All the packages we have designed are our standard after years of experience. However, the company respects the intention of the guests and provides alterations to the packages based on the client’s request provided that the client is willing to spend extra time and cost. The standard cost and time may be subject to alterations. In that case, the price and time can be adjusted by mutual agreement between the clients and the company. Damage to company equipment, delays and lags in trips, the demand for additional services than previously agreed, etc. by the client is likely to increase the previously decided price.
Early Completion of Schedule
Sometimes schedule may be completed a few days before the designated time, in such cases, the company will not refund to the client. For example, in a tour package of 21 days, if the tour completes in 18 days, the company will not refund the costs of 3 days.
Overnight Stay & Food
In case of any overnight stay that might occur due to the problems of or caused because of the client, or due to the flight cancellation (Domestic / International) the client will be required to pay the overnight stay charge and meals cost. However, if the stay is caused because of the agency’s reason, the agency shall have to bear the charge.
Agreement of Accommodations
Almost all of the trip locations either trekking or mountaineering is quite full in high season even though these are mostly in very basic standards. They are far away from the luxuries of the 21st century. It is evident that one cannot expect things to be normal all the time. In some instances, a person might not get exactly what he’s been looking for, even if he is looking to pay for it. As a hosting company, we try our best to provide the most reasonable deals. But despite all our best efforts, sometimes, we may not be able to provide guests with everything we promised for. In such instances, we expect guests to exhibit understanding and accommodate with whatever is available.
Meals
We have experienced cooks in the mountaineering sector. However, the taste may differ from what you have been getting used to in your place. We will make sure the best food is provided, but clients are required to follow the guidelines of the tour guide while choosing the food menu.
Stuff and Equipment
If our client requests, we may provide any type of equipment. The provided with any materials, gears, or any equipment that may or may not be the property of the company, the Client needs to return it to the company’s designated official at the end of the trip or expedition, or trek. Should any damage occur to the aforementioned equipment, the Client has to pay the amount fixed by the agency as compensation.
Advertisement of image and video
Snowpal Trek and Expedition may use images and video of you taken during the trip without recourse to you and without compensation to you, for publicity and promotion purposes through whatever medium will be chosen. Snowpal reserves this right.
We may require our guests to provide us with some of the videos and photographs are taken from your camera free of charge for sake of publicity. In those circumstances, we expect guests to comply with our request. However, the photographs will only be used for promotional purposes only.
Extra Activities
Those some extra activities like skiing, drone flight, paragliding, or waving large flags the client should inform it the company first. These extra activities are charged by Nepal Government, if it is not informed beforehand the company, and clients should bear all the costs resulting from such extra activities, and the company will not bear any responsibilities. But if informed, the company shall make sure all the procedures are followed accordingly following tourism rules, regulations, and acts of the Nepal government.
Agreement of Compliance
It is mandatory for the guest to comply with the rules and regulations of the country, during their stay in the country. Any illegal activities are downright discouraged and any deliberate or unintentional breach of law by the guest shall not obligate the company to advocate on their behalf. If any illegal activities on the client’s part are observed, the company holds the right to call the authorities and hand the clients to them. If the client falls into the hands of authority because of an unlawful act, the company isn’t obligated to provide any financial compensation. Moreover, during the tour/trek/expedition, the team leader is the in-charge and his decision shall be considered final. We select our team leaders/guides based on years of training and experience in a mountainous region and for the sake of the survival and wellness of our clients; we urge them to shed any instincts that direct them against the instruction of our team leader/guides. In case of any conflicts between our clients, verbal, physical, or otherwise, the company’s staff will resolve the issue and holds the right to call the police if necessary.

Snowpal Trek and expedition Pvt.Ltd attempts government registration; Government of Nepal. The company has been permitted to launch any kind of expedition, trekking trip, and other possible adventure activities as scheduled by the Ministry of Tourism and civil aviation government of Nepal. Snowpal Trek and Expedition Pvt. Ltd. is also been registered in Inland Revenue Department, Kathmandu with Permanent Account Number (PAN) 500057911. And we are submitting the tax levied as per the government’s rules and regulations regarding income tax.
A part of being registered under the Government of Nepal, Ministry of Tourism and Civil Aviation of Nepal, Snowpal Trek and Expedition Pvt. Ltd holds membership in various recognized professional organizations like the Nepal Tourism Board (NTB), Nepal Mountaineering Association (NMA), and Trekking Agencies Association of Nepal (TAAN).
